of Hire



The Active Hampton Centre is run by the Hampton Community Sports Association, a UK registered charity (Registered Charity No. 1097095).

When hiring the Centre you agree to be bound by these terms in their entirety.


General Terms

1. All bookings must be registered with the Bookings Coordinator (Email: contact@activehampton.com), any use not recorded will result in all future affiliated provisions being withdrawn.

2. All reservations must be accompanied by the full name of the hirer, a VALID email address (this is for the electronic invoice and all communications), contact number and full postal address.

3. All groups and individuals must have their own valid insurance cover and if applicable, abide by our child protection policy (copy available on request).

4. The named hirer will be held solely responsible for any damage to the facility.

5. The named hirer will be held solely responsible for ensuring payments are made on time.

6. Legal action will be taken against the named hirer in the event of damage or monies being owed to the HCSA.

7. Facility availability is strictly limited, and one-off bookings made on a weekly basis cannot be guaranteed.

8. The facility will not always have an attendant on-site; the named hirer or deputy must take responsibility for their own health and safety including holding personal accident insurance for their activities. Any incident, however minor, must be reported in writing via email to the HCSA so that both parties can sign the accident book.

9. All users must only use the equipment, courts and meeting room in the correct manner and as agreed at the time of booking. This includes compliance with any written or verbal instruction by a committee member and signs posted at the facility.

10. The HCSA reserves the right to exclude any individual(s) who abuse the facility or its staff and volunteers in any way.

11. The HCSA accepts no responsibility for loss or damage to any property, vehicles or equipment left or in use on our premises.

12. Anyone found damaging equipment or property; will be charged for the cost of repairs/replacement.

13. Should any problems or issues arise before, during or after hire, this must be reported via the website contact page or the email contact@activehampton.com.

14. If the HCSA closes the facility for any unforeseen circumstances e.g. adverse weather or vandalism, full refunds will be made for any bookings that have been paid for. Contact will be made via your registered email address as soon as we become aware of any issues.

15. GRASS PITCH BOOKINGS FOR RESIDENT FOOTBALL CLUBS NOW ACTIONED VIA THE ONLINE BOOKING SHEET FOR. Managers must email their pitch requirements at the earliest opportunity to the Grass Pitch Coordinator.

16. Any cancellations or postponements must be noted to the Grass Pitch Coordinator immediately, or they will still be charged if notified after the event.

17. Payments due to the HCSA should be as per the invoice terms. Non-payment will result in suspension.

18. The meeting room TV monitor can be used by parties hiring the room. In line with current TV licensing regulations, your licence will cover you at another address if you are using a device powered solely by its own battery and is not plugged into the mains to connect to the TV monitor.

Regular/Block Bookings

1. Regular or block bookings may be made by prior arrangement to secure the time slot.

2. Block bookings will be invoiced and therefore confirmed on a monthly basis in advance of use. Invoices are to be settled within 7 days of the issue to avoid late payment charges and cancellation of services.

3. If the electronic Quickbooks invoices are not cleared by the due dates, the block bookings will be cancelled with immediate effect. The HCSA does not accept cheques as a form of payment.

4. Should another person or organisation request a slot which currently has an outstanding balance on the account, the HCSA bookings administrator reserves the right to accept a new booking from another user.

5. Should you be unable to attend one of your pre-booked sessions, you should immediately email: contact@activehampton.com or contact the Chair of HCSA.

6. Late notice of cancellation and/or no-show will be charged.

7. Groups wishing to cancel their slots will not be refunded any remaining part of their invoice.

8. The HCSA reserves the right to cancel a one-off or regular booking at any time.

9. All users are required to clean and sweep up the changing room areas after their use ready for the next users.

10. Boots must not be banged on the walls or floors of the changing rooms. This will constitute a breach of rule 10 whereby the HCSA reserves the right to exclude any individual(s) who abuse the facility or its staff and volunteers in any way.

11. The centre will provide toilet rolls and hand soap of which a small stock will be kept in room 2 (otherwise known as ‘The Referees Room’). In the event they run out during the course of the week, users are welcome to replenish them and then inform the centre (contact@activehampton.com).

12. The hiring agreement will give the hirer, and/or the represented club/association or organisation, the right to use the relevant facilities. The hirer has no right to assign or sub-let the facilities. Any instance of an unauthorised sub-letting may, at the discretion of HCSA, result in the hiring agreement being forthwith terminated or temporarily suspended. 


Party Bookings

1. The booking will not be secured until payment has been received.

A CASH returnable deposit of between £30 and £50 will also be required prior to the event.

The deposit will be returned via BACS as soon as possible after the event once the room has been checked less any deductions required as stated below.


2. The room must be returned as you find it i.e. left clean and tidy. Cleaning equipment will be provided for this use.

You will also be given access to Changing Room 6 as toilet facilities for people using the Astro where you will find a number of outdoor chairs for outdoor seating.

We also have an outdoor table for you to use if required which is located in the meeting room.

The indoor chairs are not be be used outside and need to be returned to the chair stack. Please ensure that they place such that the blue seat cushion facing the outwards.


3. You may hang banners/posters on the wall but you can only use white tac to achieve this and should not use blue tac or sellope tape as this damages the walls.


4. You may leave 2 bags of rubbish free of charge anymore will be charged at £5 per bag and taken out of the deposit if necessary.


5. If you need any additional time at the end of the event it will be charged at £15 per hour and will also be deducted from the deposit.


6. Any damage will also need to be paid for.

Notes and Payment

This is important: All invoices need to be paid into the Hampton Community Sports Association bank account, the details will be provided on the invoice. NO Cheques are accepted.

*Please ensure you keep your email address up to date with us as this may lead to delays in your invoice being received and incur late payment charges.


Abuse

The HCSA (Registered Charity No. 1097095) will not tolerate any abuse of any kind on staff, other users or persons lawfully using or operating the facility, whether this is verbal, written or physical. Those found responsible will be banned from using the facility, and ALL instances will be reported to the Police or appropriate body.
